Project Coordinators

Based in St. Louis, Missouri, VeriDAS is a national Distributed Antenna Systems (DAS) integrator with a focus on in-building wireless Public Safety DAS & Cellular DAS systems. As we continue to grow, we’re adding experienced professionals to our project management team. VeriDAS is seeking friendly, professional, detail-oriented Project Coordinators. This is a Remote part time or full time position with plenty of opportunity to grow depending on your interest, skills and availability.

Our Project Coordinators are responsible for identifying project requirements; gathering and documenting project-related data; managing tasks and deadlines; and continually communicating project status to stakeholders. The ultimate goal of this position is to keep projects moving toward completion. This role is primarily administrative and task-management in nature and involves significant online research, reviewing construction documentation/ floor plans, completing forms, updating Excel spreadsheets, database entry, reviewing quotes and invoices, and phone calling customers, suppliers, installers and municipalities. Responsibilities
  • Calendar Management: develop, track and update a company-wide calendar that includes deadlines, meetings and events across team members. Assist in organizing meetings, conference calls and/or Zooms.
  • Task Management: manage and update the company’s CRM/project management system, enter tasks and manage deadlines
  • Bid/Quote Request Management: review, prioritize based on matrix, log, collect data and meet deadlines for bid requests
  • Database Management: manage and update databases of projects, customers, municipalities and suppliers
  • File Management: manage digital file system to develop and maintain consistent standards in naming conventions, hierarchy, etc. and ensure version control
  • Brand Management: manage branded templates to maintain current data and consistent brand standards across all documents (i.e. quotes, RFQs, presentations, system design, reports, etc.)
  • Quality Assurance: review and proofread documents for team members to ensure accuracy and clarity (i.e. quotes, RFQs, presentations, system design, reports, etc.)
  • Bookkeeping Assistance: match costs/ receipts to jobs, match quotes to invoices, follow up on invoices, collect documentation from suppliers (i.e. W9s, credit applications, pricing, certificates of insurance), provide documentation for state tax, etc.
  • Document Management: organize, print/ship and/or email/link documentation to customers, suppliers and municipalities
Minimum Qualifications
  • Associates degree or equivalent workplace experience
  • Prior experience in professional project coordinator/administrative assistant role in a structured fast-paced work environment (managing multiple projects simultaneously each with its own budget, timeline and resources/contractors)
  • Prior experience working remotely
  • Expert Microsoft Office software user: Word, Excel, PowerPoint, Outlook, etc.
  • Expert user of project management and/or CRM software
Bonus Qualifications
  • Prior experience working in the commercial/ industrial construction industry
  • Prior experience reviewing construction plans, drawings and schedules
  • Prior experience with commercial low voltage or wireless systems, life safety/ fire alarm systems, security/access control systems, IT/networking or similar
  • Prior experience using construction project software (i.e. Procore, PMweb, ConstructConnect, etc.)
